Terms and Conditions

Before booking a tour with Wise Women Tours (“WWT”), you are required to review and accept the following Terms and Conditions. 

 

Booking with us and submitting a non-refundable deposit or full payment indicates your acknowledgment that you have read, comprehended, and consented to be legally bound by these Terms and Conditions.

 

Wise Women Tours reserves the right to modify these Terms and Conditions at any time. Any revised terms and conditions become effective immediately upon their posting on our Website, Facebook and Instagram.

 

It is your responsibility to regularly check our website and social media page for updates to these Terms and Conditions. If you have made a deposit for a tour, Wise Women Tours will notify you promptly of any changes.

 

Booking Terms and Conditions:

When booking a tour with Wise Women Tours, the following rules apply:

Everyone wishing to secure a place on the tour must complete, sign, and return a Booking Form along with a photocopy of the information page (photo page) of their passport to confirm the reservation.

It is essential to provide accurate personal information, including your name as per your passport and any required visas, to Wise Women Tours for the booking process. The local authorities will necessitate this information. Failure to provide correct personal details may result in additional costs.

Submission of the Booking Form and or deposit signifies your acceptance of these Terms and Conditions.

Upon receiving the Booking Form, an invoice for the deposit will be issued. The deposit must be settled within seven days, unless stated otherwise. This deposit covers administrative arrangements and secures reservations for accommodations and other land arrangements on your behalf. Please note that the deposit is non-refundable.

Once the deposit is received, your place on the tour will be reserved, and a booking confirmation will be provided. Our legal obligations to conduct the tour commence upon issuing the booking confirmation and are bound by the outlined Terms and Conditions.

 

Payment:

To book a tour with Wise Women Tours, reservations must be made directly with us. Reservations are not confirmed until we receive a deposit equivalent to the tour cost as cleared funds. Please note that the deposit is non-refundable. The final payment is due three months (90 days) before the tour begins. Reservations made after this deadline require full payment at the time of booking. Failure to pay the full amount by the due date may result in cancellation at the discretion of Wise Women Tours.

 

Payment Information:

Prices: Tour prices are quoted in Australian dollars unless specified otherwise and include GST/taxes where applicable. If payment is made in a foreign currency, additional bank and/or currency exchange fees will apply.

 

Payment Methods:

You have the option to pay via credit card, direct deposit and Paypal. Payments made as a direct deposit in Australian Dollars to our designated Australian bank account do not incur a surcharge. However, all foreign currency transactions will attract bank fees and foreign currency exchange charges, which will be passed on to you. When making your payment via direct deposit, please ensure to reference your payment with your surname for easy identification.

Credit Cards:

If you choose to pay by credit card, a credit card surcharge will apply. The amount of the surcharge will be provided at the time of booking. Please note that Diners Club cards are not accepted. There is no surcharge for payments made by cash or direct deposit in Australian Dollars to our nominated Australian bank account. However, all foreign currency transactions will incur bank fees, which will be passed on to you.

If you choose to pay by credit card, a credit card surcharge will be applied. 

 

Final Payment Policy:

Payment in full must be made by the date(s) specified on your invoice. We do not undertake to send reminders for upcoming payments. Failure to submit payment by the due date in clear funds will result in the cancellation of your booking (refer to cancellation policy below). Please note that certain trips may necessitate earlier or additional instalment payments, and this information will be communicated in your booking confirmation.

 

For last-minute bookings (within 90 days of departure), full payment is mandatory at the time of booking. 

 

Prices Policy: 

All quoted prices are per person and cover land-based expenses only. This includes twin/double occupancy (two guests sharing a hotel room) and incorporates planning, handling, and operational charges. Wise Women Tours is not obligated to provide a breakdown of costs associated with any tour.

 

*The published tour price includes the following inclusions:

  • Accommodation as detailed in the itinerary

  • Specified meals

  • Arrival and departure transfers on designated days

  • Land transport in a private vehicle as outlined in the itinerary

  • Fully guided sightseeing with entrance fees as specified in the itinerary

  • Services of Wise Women Tours Tour Director/Leader, driver, and, depending on group size, one or more local tour guides

  • Hotel taxes throughout the tour

 

Single Guests: You will need to pay the relevant single supplement to participate in the tour. We strive to keep single fees as low as possible.

 

Cancellation:

Cancellation by Wise Women Tours: We reserve the right to cancel or reschedule a tour and will notify you of such changes no later than thirty (30) calendar days before the tour's start date. In the event of a cancellation, we will offer you the option of an alternative tour or a full refund for the affected tour. Please note that Wise Women Tours is not liable for, and you agree to indemnify us against, any additional travel arrangements or costs incurred due to cancellations or changes made to the tour booked by you.

 

Cancellation by a Guest: 

If you need to cancel your place on the tour, written notice is required before the departure date. Failure to present yourself on the departure date or leaving the tour before its conclusion will be considered a cancellation.

Upon receiving your written notice of cancellation, Wise Women Tours will process refunds according to the following schedule, based on the date we receive your notice:

  • More than 90 days before departure, Full refund, minus the deposit.

  • 90 to 30 days before departure: All payments, excluding the deposit, will be converted into a credit. The credit must be used within 24 months.

  • Less than 30 days before departure: No refunds or credits will be issued.

 

By agreeing to these terms, you acknowledge that the amount retained by Wise Women Tours represents a genuine pre-estimate of our loss.

 

Important: Deposits are non-refundable, and there are no refunds for unused portions or services of the tour.

 

COVID-19 and Illness-Related Cancellations Policy:

Up to 90 Days Before Departure: In the event of a tour cancellation due to government-imposed COVID-19 restrictions, we offer flexible terms. You can opt for a refund or choose to join the tour on a rescheduled date.

Within 89 Days of Departure: If we are compelled to cancel a tour due to COVID-19 travel restrictions, such as border closures, travel bans, or entry prohibitions, we will postpone the tour to a later date.

It is mandatory to obtain comprehensive travel insurance with cancellation coverage at the time of deposit payment. This insurance may cover cancellation fees arising from specified circumstances, including COVID-19-related issues.

Wise Women Tours cannot be held liable if you are unable to travel from interstate or internationally to the departure point due to reinstated border restrictions or travel bans. We are not accountable for your unavailability on any rescheduled tour date due to COVID-19.

Prior to or During the Tour: If you are refused carriage by an airline or common carrier, denied accommodation by a hotel or vessel, or excluded from the tour by us or our suppliers due to illness, suspected illness, or failure to meet required tests (e.g., COVID-19 temperature checks):

  • If the tour has commenced, we will assist in arranging alternative travel arrangements at your expense.

  • If the tour has not commenced, we regret that we cannot provide such assistance. This situation will be treated as a Force Majeure cancellation.

We shall not be held responsible for any losses or expenses incurred by you (e.g., airfares, visa expenses) if you are unable to commence or continue the tour due to the aforementioned circumstances.

 

Force Majeure Cancellation Policy:

If your travel plans are disrupted by circumstances beyond our control, such as natural disasters (e.g., flood, fire, hurricane, cyclone, earthquake), war, civil unrest, terrorism, industrial disputes, strikes, epidemics, pandemics, transportation failures, government regulations, or any other unforeseeable events, the situation will be deemed a Force Majeure event.

If such a situation arises, we may choose to:

  • Reschedule your travel arrangements, providing you with a credit equal to the amounts paid.

  • Cancel your travel arrangements, thereby terminating our contract with you.

 

If we are compelled to cancel your travel arrangements due to Force Majeure before your trip commences, neither party will be liable for damages. However, we will refund your payments after deducting unrecoverable third-party costs and fair compensation for work completed up to the termination point and related refund processing.

Any credit issued by us can be utilised towards another Wise Women Tour within a specified timeframe, with additional payment required if the substitute tour is more costly. Cash redemption is not available, and no refunds will be provided for any unused portion of the credit.

If a Force Majeure event necessitates the cancellation of your travel arrangements after your tour has begun, we will refund recoverable third-party costs only.

Should we offer alternative services or assistance in the event of a Force Majeure-related cancellation, the refund amount will be adjusted to account for the value of these services and assistance provided.

 

Minimum Group Number: 

All tours require a minimum of people, . If the minimum number of tour guests is not met, the tour may be cancelled, and your payment will be refunded. Alternatively, Wise Women Tours may, at its discretion, offer you:

  • The option to book another tour on a different date with the minimum number of participants; or

  • The opportunity to proceed with the tour, subject to an increased cost to accommodate the smaller group.

 

Changes to the Itinerary: 

Wise Women Tours strives to conduct all tours as advertised. However, if circumstances require us to modify your booking or any part of it, we assume no responsibility for such changes. We reserve the right to adjust the itinerary and will provide you with prompt notice of any variations. Additionally, Wise Women Tours reserves the right to alter the daily itinerary during the tour due to weather conditions or circumstances beyond our control. These decisions are final and may not be disputed during or after the tour.

 

Dietary Requirements:

Special dietary requests must be notified to us at the time of booking. While we will use reasonable efforts to accommodate these requests, we cannot guarantee that suppliers will meet them. It is your responsibility to ensure that meals and beverages do not contain any allergens. We expressly disclaim any liability for meals or beverages that contain allergens.


Independent International Air Travel Arrangements:

All tour guests are asked to provide Wise Women Tours with their international flight schedules no later than sixty 60 days before the tour departure.

 

Visas and Passport Policy:

It is your responsibility to ensure that your passport is up-to-date. For international tour guests, passports must have at least six (6) months validity beyond the tour end date. Visa requirements vary by nationality and visited countries. We recommend contacting the relevant consulates for visa requirements. Passport and visa compliance are your responsibility. Wise Women Tours is not liable for any losses or expenses resulting from a guest's failure to possess a valid passport or visa. Ultimately, Wise Women Tours cannot be held accountable for any delays, damages, or losses, including missed tour portions, due to inadequate travel documentation.

Client Names – EXACTLY AS PER PASSPORT: For security purposes and our international suppliers require that names be provided exactly as they appear in your passport. If you fail to provide the correct information you will be responsible for any associated fees (such as fines).

Travel Advisories and Warnings:

It's your responsibility to stay updated on the latest travel advisories and warnings by referring to your country's Embassy Department travel website. If there's a travel warning for the specific destination(s) of the trip, Wise Women Tours will consult embassies to decide whether to confirm or cancel the tour. Should the tour proceed and you opt to travel despite any advisories or warnings, you accept all responsibility and risk regarding personal injury, death, or property damage. Wise Women Tours holds no liability for any outcomes resulting from events advised or warned against, and by booking with us, you indemnify us against any claims.

 

Travel Insurance Policy:

Comprehensive Travel insurance is compulsory for all participants. In case of medical emergencies during travel, assistance will be provided by local healthcare authorities and facilities. Wise Women Tours does not accept responsibility for any medical costs incurred or the quality of care provided. Participants are advised to research health requirements for the countries they will visit and consult medical professionals or local health authorities for guidance on precautions, vaccinations, etc., before traveling.

We strongly advise you to diligently seek a suitable policy to cover any potential losses or injuries during your tour with Wise Women Tours. You assume all responsibility and risk regarding personal injury, death, or property damage. Wise Women Tours bears no liability for any outcomes resulting from events, and you indemnify us against any claims.

 

*Baggage and personal effects are carried at the owner's risk throughout the tour program.

Participation and Health Guidelines:

To fully engage in the tour, a reasonable level of fitness is necessary due to walking on uneven surfaces, such as cobble stones and stairs. Participants should be able to participate independently, though exceptions will be considered. If you have any medical conditions, disabilities, or physical limitations that could affect your safety or that of others, Wise Women Tours requires prior written notice to evaluate your suitability for participation. Wise Women Tours reserves the right to refuse or remove participants from a tour, at their own expense, if their behaviour is incompatible with the group or if their health or mobility may endanger others.

 

Images and Marketing:

During the tour, we may capture photographs or recordings of you and your activities that may identify you. We reserve the right to utilise any such images and/or recordings for promotional and marketing purposes. By participating in the tour, you consent to this use and acknowledge that you will not be entitled to any payment or compensation. If you do not consent to the use of your image or likeness, please notify us at least 30 days prior to the commencement of your tour.

 

Privacy:

Wise Women Tours collects your personal information to process your booking and to provide you with updates on business offers and product information, from which you can opt out at any time. In certain circumstances, Wise Women Tours may need to share your information with third parties such as accommodation providers, tour operators, customs and immigration authorities, some of whom may be located overseas and may not have the same level of personal information protection as in Australia. Your consent is required for us to use and disclose your information for these purposes. Wise Women Tours will securely store your personal information and, if the information is critical and/or sensitive, it will be kept confidential.

 

Wise Women Tour Hostess Responsibilities:

A Wise Women Tour Hostess will accompany you on the tour, providing support and encouragement to the group while managing the overall tour experience. Please note that our Wise Women Tour Hostess is not a specialised or licenced Tour Guide and is not required to have prior travel experience to the specific destination.

 

WWT / Wise Women Tours Statement:

Wise Women Tours (WWT) operates solely as an intermediary for all tour-related arrangements. While we meticulously select reputable service providers, including hoteliers and transportation companies, these services are ultimately provided by independent entities beyond our direct control. Any documents issued by these providers are subject to their respective terms and conditions, which may limit or exclude liability for certain incidents.

 

Wise Women Tours bears no responsibility for the actions or oversights of any service provider, including service delivery failures, schedule changes, accidents, or other unforeseen circumstances. We do not assume liability for events beyond our control, such as acts of war, terrorism, pandemics, natural disasters, or transportation disruptions, which may impact the provision of services.

 

Travel inherently involves risks, including limited access to medical assistance and challenges in emergency evacuations from remote areas. Participants acknowledge and accept these risks, and Wise Women Tours disclaims liability for any negligent or intentional actions by any party involved.

 

Limitation of Liability:

Our total liability arising from or in connection with any tour will not exceed the cost you paid for the tour. You agree to indemnify us, our affiliates, employees, agents, contributors, and licensors from any direct, indirect, incidental, special, consequential, or exemplary damages incurred by you, regardless of the cause. This includes, but is not limited to, loss of profit (whether direct or indirect), loss of goodwill or business reputation, and any other intangible losses.

 

Waiver:

While on Tour there may be instances where You may wish to join the Tour Operator/ Tour guide for activities in free time outside the Tour program, which may involve catching taxis or using public transport to shopping/dinner locations or other destinations chosen at the time. Wise Women Tours and its Tour Guides and / or its local guides will not be liable for any accident, injury, death, property damage or loss in relation to such activities outside of the Tour Program. By attending, You agree to take part of these activities at Your own risk.

 

“You” and “Your” means all persons named in a booking (including anyone who is added or substituted at a later date). 

Agreement: 

Your payment of the deposit and/or the issuance of Tour confirmation documents will be considered your consent to and acceptance of these Terms and Conditions, as updated from time to time. 

These Terms & Conditions are governed by and construed in accordance with the laws of New South Wales, Australia. The parties submit to the non-exclusive jurisdiction of the courts of that state. The Tours offered by Wise Women Tours are intended for women, You agree that the exclusive venue for resolving any dispute shall be in the courts of New South Wales, Australia.

If any part of these Terms is found to be void or unenforceable by a court of competent jurisdiction, that part shall be severed, and the remaining Terms shall continue in full force and effect.
